Summary:

This is a key role responsible for the management of our UK Office in London, Paddington. Reporting into the European HR Business Partner, you will have involvement across several areas of the business operation with a strong focus on office management. The successful candidate will need to demonstrate exceptional flexibility and organisational skills to manage the diverse demands that will be placed upon the role.  Additionally, the required liaison with people at all levels, both within and outside of Trend Micro, desires a high level of interpersonal sensitivity and customer awareness.

Role Responsibilities:

  • Ensure and maintain high levels of office efficiency and housekeeping standards.
  • Serve as the primary point of contact for all office visitors at Reception.
  • Establish and enforce office operations, protocols, and procedures.
  • Oversee and manage daily office operations and maintain a productive environment.
  • Schedule and organise events across the UK and globally, as required.
  • Manage and evaluate relationships with current contractors, and source new contractors when necessary.
  • Ensure that all office purchase orders are processed through the internal system.
  • Coordinate with IS to manage office and employee equipment, including overseeing the onboarding process for new hires to ensure a smooth transition into the UK&I BU.
  • Establish, maintain, and monitor Health and Safety procedures within the office.
  • Organise and facilitate Health and Safety training sessions as required.
  • Arrange and coordinate international travel for customers, partners, and new hires as necessary.
  • Organise and manage employee events, business unit meetings, executive meetings, and management meetings, including booking meeting rooms, arranging catering, procuring supplies, and coordinating offsite meeting facilities, equipment, and hotel accommodations.
  • Liaise with Global and EMEA Business Units as required.
  • Support the Nordic BU Country Managers / Leaders with employee onboarding, events organisation and ad-hoc requirements (some occasional travel may be required).

Requirements:

  • Minimum of 3 years experience having worked in a related role at senior administrative level.
  • High level experience managing a fast-paced commercial office with the ability to create and foster a positive working environment and culture.
  • Proven ability to work efficiently and effectively multitask several time critical projects while maintaining a high level attention to detail.
  • Excellent project management skills with the ability to maintain priorities and deadlines amidst interruptions.
  • Ability to anticipate administrative issues and work proactively to resolve them with limited input.
  • Can take ownership and work to strict deadlines in an assertive and efficient manner.
  • Excellent organisational skills are essential in order to manage the diverse demands that will be placed upon the role.  
  • Ability to liaise with people at all levels both within and outside of Trend Micro, requiring a high level of interpersonal skills, sensitivity and customer awareness.
  • Excellent and demonstrable MS Office skills.

The successful candidate will need to demonstrate exceptional flexibility around this role, including availability outside of normal core hours when required.
