ROLE SUMMARY This position will report to the Global Accounting Compliance Controller and will be responsible for maintaining and managing the Onestream system. You will be responsible for ensuring the integrity, performance, and reliability of the system, troubleshooting and resolving system issues, while also supporting end users and driving enhancements to meet evolving business needs. Working closely with Finance and IT teams, the Onestream Administrator will contribute to the continuous improvement of financial control and reporting processes, ensuring data accuracy, compliance, and operational efficiency. This includes leveraging automation and emerging AI capabilities, within Onestream and complementary tools, to enhance data quality, streamline workflows, and improve user experience. The role will also be responsible for producing documentation, developing and delivering user training and driving strategic roadmap development to ensure alignment with business objectives and system evolution. What you will do

  • System administration:
  • Metadata management
  • User management (set up, disablement, access controls etc)
  • Manage system configuration
  • Maintain and support manual and automated interfaces and integrations e.g. with SAP
  • Data management, including data loading, validation and reconciliation processes to ensure accuracy across entities and reporting hierarchies
  • System monitoring and issue resolution – oversee daily system operations, identify, troubleshoot and resolve system issues promptly to ensure smooth operations
  • Identify opportunities to apply automation or AI-driven controls to enhance accuracy, improve data validation, or reduce manual effort where appropriate
  • User training and support:
  • Act as first point of contact for user queries
  • Responsible for managing the JIRA ticketing system
  • Provide structured user onboarding, training and ongoing knowledge sessions
  • Use AI-enabled tools to enhance training materials, user communications, and documentation where beneficial
  • Process improvement and roadmap development:
  • Identify and implement opportunities to optimize system usage and streamline existing processes
  • Keep up to date with emerging developments and trends in the Onestream Solution Exchange with a view to optimize Sophos processes by leveraging the latest functionality
  • Collaborate with stakeholders to define and maintain a Onestream roadmap, ensuring enhancements align with strategic business priorities
  • Evaluate and integrate emerging AI capabilities, such as predictive analytics, automated reconciliations, workflow optimization, and intelligent reporting, into the roadmap where relevant
  • Other:
  • Reporting & Analysis: Support the design, development, and maintenance of Onestream reports, dashboards, and templates for reporting. Contribute to opportunities to incorporate AI-assisted insights where appropriate
  • Upgrades & Enhancements: Assist with system upgrades, testing, and deployment of new features or modules, including those involving automation or AI functionality
  • Collaboration: Work closely with Finance, IT, and external consultants to ensure the system supports compliance, control, and operational excellence.
  • Documentation: Develop and maintain comprehensive system and process documentation, including user guides, change logs, and configuration records; use AI tools to improve clarity, version control, and efficiency of documentation workflows
  • Maintain up to date knowledge of Onestream.
  • Actively participate in internal AI and digital finance learning programs.
  • Attend relevant workshops, industry forums and professional development events to stay informed of best practices and emerging technologies in finance automation.

  • What you will bring

  • Essential
  • Experience in Onestream system administration
  • Proficient in Excel and other Office 365 applications
  • Understanding of accounting concepts and principles
  • Knowledge of core financial processes and best practices
  • Demonstrated ability to troubleshoot and resolve system issues with the ability to communicate technical concepts to non-technical users
  • Business partnering experience and managing various stakeholder relationships
  • Experience in user training and system roadmap development
  • Experience documenting processes and procedures
  • Excellent troubleshooting and problem solving skills
  • Degree level or equivalent
  • Desirable
  • Exposure to AI- or automation-enabled finance tools.
  • Exposure to other various systems – experience of SAP would be an advantage
  • Working within a software company, ideally a global organisation and as part of a global finance team supporting global actions and initiatives
  • Experience supporting system upgrades, testing cycles, or user acceptance testing (UAT).
  • Working on Financial systems projects/ the implementation of Financial systems
  • Experience with Onestream business rules and building cube views
  • Project management experience
  • Degree in Accounting, Finance, Information Systems, or a related field
  • Professional qualification or part-qualification (e.g., ACCA, CIMA) is an advantage
