We are currently recruiting for an Administrator to work for Lincolnshire Police at their headquarters in Nettleham.

This is a temporary ongoing position until at least the end of May 2025, this will be office based working Monday to Friday 37 hours per week.

Please note due to police vetting criteria you must have resided within the UK continuously for at least 3 years.

JOB PURPOSE AND SCOPE

The purpose of the role is to support the Office Manager, administrator(s), and wider Health & Care team in all areas of service delivery and provide excellent customer service in a highly confidential setting.

CORE WORK AREAS

Undertake training to act as a super-user for electronic software system, providing basic training, advice and user support to new starters, the team or third-party users.
Support the Officer Manager with procurement orders, progression of invoices for payment, monitoring spending and assisting with enquiries from finance and suppliers.
Support the team, in particular the Office Manager and Head of Health and Care, in gathering and presenting statistical data to monitor demand and enable appropriate allocation of resources.
Ensure medical confidentiality is always maintained, recognising, and acting upon Subject Access Requests, Freedom of Information, and Benchmarking requests.
Work with the OH Administrator to effectively manage personal and shared team email inboxes and the occupational health software system, prioritising requests and tasks to ensure timely progression of all workflows.
Maintain electronic diaries, allocate and manage appointments, electronic and manually in the absence of administrators to provide service continuity.
Maintain Occupational Health files, electronic and paper, and undertake Retention and Disposal checks as required, in line with department guidance.
Request further medical evidence (eg General Practitioner or Medical Specialist Reports) as requested, ensuring written consent is in place, monitor receipt, ensuring the information is directed to the correct team member and escalating as appropriate.
Provide reception services for medicals in support of the clinicians.
Act as a point of contact for internal and external enquiries, by electronic means, telephone, and face to face contacts.
Have oversight of existing and future demands on the team to support resource planning and provide resilience to the service.
Attending meetings and taking minutes for publication as required.
Deputise for Office Manager to give continuation of services.Qualifications/Experience

Educated to at least grade C or above (or equivalent) in Maths and English, NVQ 3 Business Administration or equivalent.

Proven experience of working within an administrative role.

Experience of data monitoring and co-ordination

Excellent organisational skills - able to plan, prioritise and co-ordinate work to meet deadlines and deal with conflicting demands

Effective communication skills - able to explain things clearly; good written communication at all levels

Able to build and maintain relationships with a wide range of people, with a strong customer focus.

Ability to deal effectively with distressed people.

Confident and able to act appropriately on own initiative with minimal supervision.

Delivers results and achieves objectives within timescales and to agreed quality

Ability to use Microsoft Office packages, Knowledge of data protection laws and importance of confidentiality.

Ability to deal with sensitive and confidential information, Tactful and diplomatic, Approachable and enthusiastic

Flexible, positive attitude and able to operate to deadlines in a disciplined environment
