Job Description

Post Title: Data Protection Administrator
Salary: £26,268 – £28,433 FTE (pro-rata for 20–24 hours per week)
Hours: 20–24 hours per week
Location: Havant (office-based)
Reporting to: Business Development Director

Role Purpose

The Data Protection Administrator is responsible for supporting the organisation’s compliance with UK data protection legislation, including the UK GDPR and the Data Protection Act 2018. The post holder will manage Subject Access Requests (SARs) and other information rights requests, ensuring that personal and sensitive data is processed lawfully, securely and within statutory timescales.

Working closely with colleagues across the organisation, the role involves identifying, reviewing and redacting information with accuracy, discretion and professionalism. This is an excellent opportunity for an organised and conscientious individual with an interest in information governance and public service within a busy charity environment.

Duties and Responsibilities



Manage Subject Access Requests (SARs), DPS2s and other data protection requests from receipt through to completion, ensuring compliance with relevant legislation and organisational procedures

Liaise with managers and colleagues to locate, review and assess information, and accurately redact sensitive, confidential and third-party data prior to disclosure

Prepare clear, accurate and timely responses to applicants, including explanations of redactions where required, and ensure statutory deadlines are met

*

Maintain compliance with data protection, confidentiality and information security standards, including supporting internal audits, reviews and assurance activity

*

Promote data protection awareness across the organisation through guidance, advice and training, and monitor legislative and best-practice developments, recommending updates to policies and procedures

*

Assist with Data Protection Impact Assessments (DPIAs), risk assessments, incident response planning and data breach reporting, and provide administrative and project support to senior managers

*

Undertake any other duties appropriate to the role and grade, as reasonably required

Qualifications and Training

*

GCSEs (or equivalent) including English and Mathematics – Essential

*

Professional data protection qualification (e.g. CIPP, CIPM, CIPT or equivalent) – Desirable

Experience and Knowledge

Good working knowledge of Microsoft Word, Excel and Outlook – Essential

*

Understanding of data protection and privacy principles – Essential

*

Knowledge of UK GDPR and related legislation – Desirable

*

Experience of working within a charity or voluntary sector organisation – Desirable

Skills and Abilities

*

Excellent written and verbal communication skills, with strong organisational and time-management abilities

*

Ability to handle sensitive and confidential information with discretion and professionalism

*

Effective interpersonal skills, able to work independently and collaboratively as part of a team
